Every organization knows this scenario: meetings are held, decisions are made, tasks are assigned—and two weeks later, no one remembers exactly what was decided. In the best case scenario, someone has taken half-hearted notes. In the worst case scenario, later decisions contradict earlier ones, because there is simply no reliable documentation, or decisions are even made again later and may then contradict the first ones.
A customer had exactly this problem, exacerbated by the fact that many meetings take place via Microsoft Teams and the participants speak different languages.
I have designed a solution that automatically transcribes Teams meetings regardless of language, creates a structured summary, and recognizes decisions, tasks, and follow-up appointments mentioned. The identified tasks are created directly as tasks in Outlook and assigned to the right people. For follow-up appointments, a suitable time slot is automatically searched for and an invitation is sent out. A process that simply did not take place before, because it was too time-consuming or inconvenient, is now performed automatically in the background.
